Administrative Manager Type of Position: 12 month, full-time Location: PHILLIPS ~ Laurel (some travel required, primarily between PHILLIPS campuses) Reports to: Executive Director of Programs This position has four broad areas of responsibility:
Office Management Work collaboratively and supportively in a supervisory capacity with office staff to handle all Maryland office functions: - Supervise front office functions, maintaining a professional and friendly reception area and an efficient operation of front desk duties
- Coordinate office functions, such as petty cash, supplies, office machine maintenance, furniture purchasing, etc. - Budget development and monitoring Administrative Support - Provide ongoing support of routine functions, such as student admission and discharge, and provide support of special projects, such as staff development workshops - Assist program leadership and Executive Director of Programs as needed with administration tasks Human Resources
With guidance from
Director of Human Resources, the Administrative - Manage personnel records for all Maryland employees - Assist in recruitment & hiring of Maryland staff - Coordinate new employee orientation - Provide information to staff about PHILLIPS benefits following initial enrollment, and coordinate on-site benefits presentations with Director of Human Resources as benefits programs are added or updated - Track time & attendance of Maryland staff - Process worker’s compensation claims - Manage employment-related inquiries (professional references, loan applications, etc.) - Provide general personnel information to staff and make appropriate referrals
Event planning/coordination With guidance from Director of Development and in consultation with PHILLIPS Executive Administrative Manager: - Coordinate Maryland staff participation in PHILLIPS events - Provide logistics, publicity and planning support for Maryland events - Support Executive Director of Programs, Laurel School Program Director and Community Services Director to network on behalf of PHILLIPS with community groups and community leaders
Credentials: Bachelor’s degree, administrative and supervisory experience, preferably in a non-profit or educational setting. Qualifications Qualified individuals will: - Enjoy young people and interacting with staff, students, visitors and community colleagues - Be organized and possess excellent oral and written communications skills - Understand and support the PHILLIPS mission, and be a team player when working with staff throughout the organization - Be trustworthy and able to handle sensitive information confidentially and professionally - Be proficient with computers and with Microsoft Office applications
